When you submit an inquiry through our website or work with us as a client, we collect information you choose to share with us. This typically includes:
- Contact information — name, email, phone, and family contact details
- Student academic information — transcripts, coursework, testing history
- Athletics history — recruiting profile, film, competition results, coach correspondence, where relevant to our athletic recruiting practice
- Application materials — essays, activities lists, school lists, and other documents you share for review
- Anything else you choose to tell us that's relevant to advising your family
We also collect limited technical information automatically when you visit our website — see Section 4, Cookies & Analytics, below.
2. How we use it
We use this information solely to communicate with you, deliver advisory services, and improve our practice. Specifically:
- To respond to inquiries and schedule consultations
- To build your student's roadmap, essay strategy, and recruiting plan
- To match your family with the right partner or consultant on our team
- To maintain records required for our own professional and legal obligations
We do not use client information for advertising, profiling, or third-party marketing — not now, not as we grow.
3. How we share it
Oak Collegiate does not sell, rent, or trade personal information with any third party for any purpose, full stop. We do share information in a narrow set of circumstances, always in service of your engagement:
- With the specific partner or consultant assigned to your family's team — for example, a subject-matter consultant, essay mentor, or athletics advisor
- With coaches or programs during athletic recruiting outreach — only with your knowledge and direction, since this outreach happens on your behalf
- With our vetted tutoring network — only for the portion of your engagement that involves tutoring, and only what's needed to support that work
- Where required by law, or where you've authorized it in writing
Every partner and consultant in our network is bound by the same confidentiality standard we hold ourselves to.
4. Cookies & analytics
We do not run advertising trackers on this site, and we do not sell or share browsing data with ad networks. What we do use:
- Essential cookies that let the site function — page load, form submission, session basics
- Limited first-party analytics to understand which pages are useful and where the site could be clearer — no cross-site tracking, no ad retargeting
We honor Do Not Track browser signals where technically supported. You can block or delete cookies at any time through your browser settings; doing so won't affect your ability to browse the site, though it may disable the contact form's autofill convenience.
5. Data retention
We retain client records for as long as is reasonably necessary to provide services and meet our legal and professional obligations — typically for the duration of an active engagement plus a limited period afterward for recordkeeping. You may request deletion of your data at any time, subject to records we're required to retain by law.
6. Your rights
You may request access to, correction of, or deletion of any personal information we hold about you by writing to admissions@oakcollegiate.com. We will respond within a reasonable time and confirm once any requested changes are made.
If you are a California resident, or a resident of another state with its own consumer privacy law, you may have additional rights under that law — including the right to know what categories of information we hold and to request deletion. We extend the same access and deletion process described above to all clients regardless of state, since we don't treat privacy as a jurisdiction-by-jurisdiction obligation.
7. Children's privacy
Oak Collegiate works with students typically aged 14–18, always with parental knowledge and, where the family's engagement requires it, parental consent. We do not knowingly collect information from children under 13 without verified parental consent.
8. Data security
We maintain reasonable administrative, technical, and physical safeguards to protect the information you share with us, and we limit internal access to what each team member needs to do their work. No system is completely immune to risk, and we'll notify affected families promptly if we ever believe that risk has materialized.
9. Third-party links
Our site may link to outside resources — a partner school, a testing service, a university program page. We aren't responsible for the privacy practices of sites we don't operate, and we'd encourage you to review their policies directly.
10. Changes to this policy
We'll update this policy as our practices evolve, and we'll post the revised version here with an updated date at the top. Material changes affecting active clients will be communicated directly, not just posted quietly.
